Last updated: July 27, 2026. This notice explains how GuestCaptures processes organizer, guest, event-media, face-search, billing, support, security, partner-pilot, and marketing data.
Public events can be viewed by anyone who has the event link. Organizers should publish only galleries intended for link-based sharing.
Private or protected events require the organizer-provided access code before guests can view, upload, download, or use face search.
Uploads, downloads, guest messages, moderation, live wall, and publishing status can be controlled per album.
Face search helps guests find visually similar faces within an event gallery they can access. It is not a public identity system.
Free event galleries are live for 14 days. Paid windows vary by plan. Organizers can renew during the 30-day recovery window before media becomes eligible for deletion. Security, billing, consent, and operational records may be retained longer when needed for fraud prevention, legal obligations, disputes, or service integrity.
Organizers control event content, export/download options, and deletion requests for their galleries.
Media is stored outside public open buckets and served through application-controlled URLs based on the event and album access settings.
With your optional analytics choice, GuestCaptures may use Meta Pixel and server-side measurement on marketing, account, and billing pages to measure ad performance and improve retargeting. For a lead attributed to a Meta form, we may send Meta a one-way hashed email and funnel stage, such as verified signup, event gallery creation, or purchase, to measure lead quality. We do not send typed event names, gallery media, or raw email addresses in these events. Private guest gallery and upload pages are excluded by default.
If you ask us to email an event setup link, we store your email plus any optional event type or timing you provide. First-party campaign attribution may be stored with that request so we can understand what helped you find GuestCaptures and follow up once with setup help.
If a wedding professional requests complimentary client setup, we store the partner and business details, event setup details, organizer email, permission confirmation, and first-party campaign attribution submitted with the request. We use this information only to evaluate, arrange, support, and measure the requested pilot setup. Partner and organizer contact details are not written into marketing interaction logs.
We process account details, event settings, uploaded media and captions, guest names or messages when provided, billing references, support communications, IP address, device/browser information, security logs, and campaign attribution. We do not store full payment-card details; payment processing is handled by Stripe.
When an eligible organizer enables face search, approved event photos may be converted into numerical face embeddings. A guest-provided selfie is used to search the current event and is not added to the gallery. Organizers must provide appropriate attendee notice and obtain any consent required by applicable law.
We use service providers for cloud hosting, storage, database operations, email, payments, monitoring, security, and optional advertising analytics. We share only the information needed for those services, legal compliance, fraud prevention, or protection of users and the platform. We do not sell event media.
Organizers can manage event visibility, downloads, retention, and deletion requests. To request access, correction, export, account deletion, media removal, or help exercising privacy rights, email support@guestcaptures.com. We may need to verify the requester and the relevant event.
Necessary cookies support sign-in and gallery access. Meta Pixel, server-side advertising measurement, and Meta lead-quality feedback are disabled until you choose “Allow analytics.” You can reopen Analytics preferences from the site footer. Private guest gallery and upload pages remain excluded.
GuestCaptures is not directed to children creating organizer accounts. Organizers are responsible for obtaining appropriate guardian permission and choosing suitable privacy settings before uploading or inviting contributions involving minors.
